Leaving Fresha without losing your client list

You have decided. The question now is what you can take with you, what stays behind and how much of your diary is at risk on the day you switch. This page answers those in order.

The fear is nearly always the same one. Not the price and not the calendar, but the client list. Years of names, numbers, birthdays and notes sitting inside somebody else's software, with no obvious way of knowing whether they will still be yours next month. So this page starts there and leaves the pricing argument to the comparison page. What comes out of Fresha, what the Youzse importer reads, what genuinely does not travel and what you do about the booking links people already have.

The Youzse importer recognises Fresha client files by their column headings and maps clients, services, bookings and staff. Nothing in this table is a claim about what Fresha will hand over on any given day, so look at the export you actually get before you plan around it.

The marketplace clients question, answered plainly

This is the question people are too polite to ask out loud. If Fresha introduced you to a client, is that client yours? In practice the relationship is yours and the listing is not. Fresha charges a 20% one time commission on new clients who discover your business through the Fresha marketplace, with a stated minimum fee of £4 per client, and it does not charge that commission again when the same person comes back. The money has therefore already been paid on everyone you have won so far. What you give up by leaving is future discovery, not the people you have already met.

That distinction shapes how you tell people. Clients who found you through your own website, through Google or through social media were never marketplace clients at all, because Fresha excludes those channels from the commission. They will follow you the moment you say where to book. The ones who arrived through the marketplace are the ones worth a personal message rather than a bulk email.

Fresha is genuinely good at the thing you are giving up. It runs a large consumer marketplace, it fills empty columns for a business still building a book and it does not charge commission on returning clients. If discovery is doing real work for you, switching it off is a decision worth taking deliberately rather than as a side effect of changing software.

The order to do it in

  • Export your clients, your services and your appointments while the Fresha account is still active and paid
  • Start the Youzse trial, which runs 30 days with no card, and upload the client file first
  • Read the preview screen before you commit. Youzse looks for records that already match, so the same client does not land twice
  • Import services and prices next, then staff, then appointments, because a booking needs its client, its service and its staff member to exist first
  • Rebuild the things an export does not carry, which usually means deposit rules, reminder wording and forms
  • Take live bookings on Youzse for a fortnight while Fresha is still running, so the diary has a fallback
  • Change your booking links last, and only once the Youzse diary is one you would trust on a Saturday

How long it takes and where the time actually goes

The uploading is the short part. A client list is a file, and the Youzse importer takes it through the same four steps every time: read the file, match the columns, show you a preview and then commit the batch. If something looks wrong in the preview you change the mapping and run it again, and if a committed batch turns out to be wrong you can roll that batch back rather than unpicking rows by hand.

The time goes on checking. Somebody has to look at a sample of clients and confirm the mobile numbers arrived in a usable shape, look at the services and confirm the durations are right, and look at the first week of future bookings and confirm they are on the right day with the right person. That is not software work, it is your work, and rushing it is how a Saturday goes wrong.

The sensible shape is a period of overlap rather than a switchover date. Run Youzse alongside Fresha through the 30 day trial, put new bookings on Youzse, keep the old diary readable and cancel only when the last booking made under the old system has been and gone.

What actually breaks on the day

  • Every link you have already given out points at Fresha, and nobody can redirect a web address on a domain they do not own. Your Instagram profile, your Google Business Profile booking link, your printed cards and any QR code you had made all have to be changed by hand.
  • Clients with a card saved will be asked for it again. Say so in the message rather than letting them discover it at the till.
  • Reviews on your Fresha listing stay on your Fresha listing. What you can bring across is a copy, shown as imported, which is not the same as inheriting the rating.
  • Automations do not export anywhere. Reminder timings, deposit rules, cancellation windows and message wording are settings rather than records, and they have to be built again.
  • Youzse card processing is 2.5% plus 35p with our platform fee inside that single rate, and Fresha publishes 1.19% plus £0.20 with no VAT treatment stated for it. On card takings alone you will pay us more per transaction and there is no way to present that which makes it smaller.
