Leaving Vagaro with your clients, services and diary intact

Vagaro is an American platform with a British price list, and that shows up in the export more than anywhere else. Here is what travels, what needs correcting on the way through and what to do about the links people already have.

Export from Reports, then Customer Reports and Customer List. Appointment Reports holds the diary and the service reports hold your prices. Nothing in this table is a claim about what Vagaro will hand over on any given day, so look at the export you actually get before you plan around it.

Vagaro reaches further than most of this category. Appointments, classes, memberships and retail in one system is genuinely more than a booking app does, and if you use all of it you are giving up more than a calendar. So the rest of this page is not an argument for leaving. It is what happens if you have already decided: what the Youzse importer reads without being told, what quietly does not travel and what to do about your booking links.

The American fields, and why they matter here

Vagaro was built for the United States and its export says so. Addresses come out as Address, City, State and Zip rather than as a British address, and a spreadsheet full of empty State cells is the first thing most people notice.

Youzse maps State to the county field and Zip to the postcode field, which is where a UK address expects both, so you do not have to rearrange columns before you upload. Work Phone is recognised and deliberately left out, because in this trade the number you actually ring is the mobile.

The one to check by hand is the postcode column. If your Vagaro account was set up with the address fields used loosely, and plenty were, the postcodes may be sitting somewhere other than Zip. Look at a sample on the preview screen before you commit the batch rather than after.

The marketplace fee, and what leaving does to it

Vagaro states on its own pricing page that a one time 20% fee applies to the first appointment when a new client finds you through the Vagaro Marketplace. It does not publish a minimum fee alongside that, so the only number you can rely on is the percentage.

Because it is charged once rather than on every visit, the money has already been paid on every client you have won so far. Leaving does not claw anything back and does not owe anything further. What you give up is future discovery, which is a real thing to give up if the marketplace is filling your quiet days.

Youzse charges 0% commission on new clients who find you through Youzse, and the platform fee sits inside the card rate instead. That is a better deal per client and a smaller audience today, and both halves of that are true at once.

Classes, memberships and the things that are settings

Vagaro is unusual in this category for holding classes, memberships, packages and retail alongside appointments, and that is exactly the part an export cannot carry. A class schedule is a configuration. A membership is a rule about billing. Neither is a row in a file and neither appears in any report you can download.

Youzse supports classes and memberships, so the work is rebuilding rather than going without, and it is an afternoon rather than a project. What matters is doing it during the overlap while Vagaro is still running, so you are copying from a live screen rather than from memory.

Retail stock is the one to think about separately. If you sell product through Vagaro, that side of the business needs its own look rather than an assumption that it arrives with the client list.

The order to do it in

  • Export your clients, your services and your appointments while the Vagaro account is still active and paid
  • Screenshot your class schedule, your membership rules and your package plans, because none of those come out in a file
  • Start the Youzse trial, which runs 30 days with no card, and upload the client file first
  • Read the preview screen before you commit, paying particular attention to the postcode and mobile columns
  • Import services and prices next, then staff, then appointments, because a booking needs its client, its service and its staff member to exist first
  • Rebuild what an export does not carry, which usually means deposit rules, reminder wording, forms and anything you sell on a membership
  • Take live bookings on Youzse for a fortnight while Vagaro is still running, so the diary has a fallback
  • Change your booking links last, and only once the Youzse diary is one you would trust on a Saturday

What actually breaks on the day

  • Every link you have already given out points at Vagaro, and nobody can redirect a web address on a domain they do not own. Your Instagram profile, your Google Business Profile booking link, your printed cards and any QR code you had made all have to be changed by hand.
  • Clients with a card saved will be asked for it again. Say so in the message rather than letting them discover it at the till.
  • Reviews on your Vagaro listing stay on your Vagaro listing. What you can bring across is a copy, shown as imported, which is not the same as inheriting the rating.
  • Youzse card processing is 2.5% plus 35p with our platform fee inside that single rate. Vagaro publishes no card rate on its UK pricing page at all, so you cannot compare the two from published figures and will have to read your own Vagaro statements to know whether you are paying more.

How long it takes and where the time actually goes

The uploading is the short part. A client list is a file, and the Youzse importer takes it through the same four steps every time: read the file, match the columns, show you a preview and then commit the batch. If a committed batch turns out to be wrong you can roll that batch back rather than unpicking rows by hand.

The time goes on checking, and with a Vagaro export it goes on checking the address and phone columns in particular, because those are the ones the American field names most often land in the wrong place. Look at a sample of clients and confirm the mobile numbers arrived in a usable shape before you commit anything.

The sensible shape is a period of overlap rather than a switchover date. Both trials run 30 days, so run Youzse alongside Vagaro, put new bookings on Youzse, keep the old diary readable and cancel only when the last booking made under the old system has been and gone.
