Protect the chair before it is booked

A three hour balayage that walks out is not a gap, it is a whole afternoon of a stylist you still have to pay. Take a deposit at the point of booking, scale it by how long the service holds the chair and let it come off the final bill automatically.

Deposits come off the final bill automatically.

No reconciling a separate pot at the end of the week.

Remember the formula, keep the client

Colour formulas, developer volumes, patch test dates and the fact she hates a blunt fringe all live on one timeline. Any stylist covering a shift can pick up exactly where the last one left off, which is what keeps a client with the salon rather than with one chair.

Unlimited client records on every plan.

Running a hairdressers business

A salon sells chair hours and nothing else. Every commercial decision in it comes down to filling those hours, protecting them or raising what one of them earns. Most salons work relentlessly at the first and almost never at the third.

The colour column and the cut column are two different businesses

A cut holds a chair for forty five minutes and holds the stylist for all of it. A full head of foils holds the chair for three hours and holds the stylist for perhaps ninety minutes, because development time is time you are paid for while nobody is standing over the client.

That gap is why colour carries a salon, and it only works if the diary understands processing. A system treating a balayage as three solid hours of one person shows you a full day that is in truth half empty, and you staff a Saturday around a number that was never real.

The salon year and what should be selling in it

Part of the yearWhat fills the chairsWhat should be selling
January and FebruaryThe quietest weeks of the year, roots and cutsCourses of treatments and blocks bought before Christmas
March to MayWeddings, proms and the first colour changes of springConsultations for big colour, booked months ahead
June to AugustHoliday hair, lighter colour and far more toningHome care that stops a toner going brassy by week three
September and OctoberEveryone back on their proper colour cycleStanding appointments running through to Christmas
November and DecemberThe busiest six weeks, blow dries and full headsGift cards and prebooked January appointments

January is decided in December. A salon that has not sold gift cards and prebooked its regulars by Christmas Eve spends eight weeks finding that out.

The gap between visits is the number nobody watches

A regular on a six week colour cycle who drifts to nine weeks has cut what she is worth across a year by a third, and she has not left, so nobody notices. Forty clients doing that quietly is a full stylist of income gone.

Measure the average gap per client rather than counting appointments in the book. Volume holds steady while the gap stretches, and by the time the volume falls the habit is a year old and she has found a Thursday somewhere else.

What quietly costs a salon a day of chair time

  • A colour correction priced against a full head because both take three hours, when only one of them takes judgement
  • A three hour appointment lost to a no show on a Saturday, the single day of the week that cannot be resold
  • Development time booked as solid time, so the diary looks full while the stylist stands still
  • A toner, a treatment or a bond builder added at the basin and never rung through at the desk
  • A junior kept on shampoos all day when she is ready to be taking blow dries at her own price

The record belongs to the salon and not to the chair

Formulas, developer volumes, timings, what she asked for and what she hated all belong on one record. When a stylist is off sick in the week before a wedding, that record is the difference between covering the appointment and losing the client.

It is also where patch test dates live. Insurers expect a documented test with a date and a result, and a colour reaction is exactly the moment a paper diary stops being adequate.

Stylists move on, and where the salon held nothing they take the clients with them. Where the salon holds the history, the next stylist picks the client up mid conversation.
