A useful appointment reminder identifies the business, says who and what the appointment is for, gives an unambiguous date and time and explains how to request a change. Replace every bracketed placeholder before sending. These are plain text examples, not software merge tags or a promise that your provider supports every channel.
Booking confirmation template
Hi [first name], your [service] with [staff name] at [business name] is booked for [weekday, day month year] at [time and time zone if needed]. Find us at [address]. View your booking or request a change: [booking link]. Thank you, [business name].
Send a confirmation after the booking is accepted. If the booking is still a request, say that it is awaiting confirmation instead. Include a deposit or remaining balance only when it matches the actual booking record.
Short SMS appointment reminder
Reminder from [business name]: [service] on [weekday, day month] at [time], [address]. Need to change it? [booking link] or [phone].
Keep the service wording discreet where a notification could reveal something private. Check the character count with your messaging provider: a long message or some characters can use more than one SMS segment and increase the cost.
Barber appointment reminder
Hi [first name], see you for your [cut or service] with [barber name] at [shop name] on [weekday, day month] at [time]. We are at [address]. For changes, use [booking link] or call [phone].
A barber’s name is useful when clients normally choose a particular person. If staff cover changes, tell the client directly rather than letting an old reminder imply the original barber is still available.
Salon appointment reminder
Hi [first name], your [service] with [stylist name] at [salon name] is on [weekday, day month] at [time]. Please check any preparation instructions already sent. View the booking or request a change: [booking link]. Questions? [phone].
Only mention preparation instructions that apply to this actual service and have been agreed by the business. A reminder is not a substitute for a consultation, consent or service-specific professional guidance.
Email reminder template
Subject: Your appointment at [business name] on [weekday, day month]
Hi [first name], this is a reminder of your [service] with [staff name]. Date: [full date]. Time: [time and time zone if needed]. Address: [address]. You can view your appointment or request a change at [booking link]. If you need help, contact [phone or monitored email]. Thank you, [business name].
An email gives you more room for parking or arrival instructions. Put the date, time and address before those details so the client can find the essentials quickly.
Rescheduled appointment confirmation
Hi [first name], your [service] at [business name] has moved to [new full date] at [new time]. This replaces the appointment on [old date] at [old time]. View the updated booking: [booking link]. Please contact [phone] if anything looks wrong.
Use this only after the change has been agreed and saved. Check that reminders for the old appointment time have been cancelled or updated, particularly if you use a separate messaging tool.
Before you send any template
- Replace the placeholders and open the booking link on a phone.
- Spell out the month instead of using a numeric date that could be read two ways.
- Include a time zone for remote appointments or when the customer is in another zone.
- Make sure the phone or email is monitored. Do not ask for a reply to a channel nobody reads.
- Send only to the intended customer through a permitted channel and respect their communication preferences.
- Keep promotional offers separate from the service reminder and check the rules that apply in the customer’s country.
- Test changes and cancellations so a client does not receive reminders for a booking that no longer exists.
Choose reminder timing around when a client can act
A confirmation belongs after acceptance. Choose the reminder time to give the client a realistic chance to arrange travel or request a change. A reminder sent after your cancellation deadline cannot help a customer give the notice you asked for.
Start with a simple schedule and review late changes, missed visits, delivery failures and customer feedback. There is no single timing or message that guarantees attendance. The best wording is the wording your customer can understand and act on.
Resolve a reminder that conflicts with the current booking
| Mismatch | Check before sending again |
|---|---|
| Old start time | Read the latest agreed date and time from the booking record. |
| Changed location | Check the address in the confirmation and the destination of the booking link. |
| Different staff member | Verify the current assignment and whether the client has accepted the change. |
| Payment wording | Inspect the actual balance before including an amount in a message. |
A correction message should say which appointment it replaces
Example wording: “Correction from [business name]: your [service] is confirmed for [weekday, day month] at [time] at [location]. This replaces the earlier message showing [old date/time]. For questions, contact [phone].” Replace every placeholder and confirm the change is actually agreed before using the word confirmed.
Check pending reminders in the old and new system before sending the correction. Keep unnecessary treatment or payment detail out of the message, and record which message the client should rely on. This is wording to adapt, not a guarantee that your software cancels earlier scheduled messages automatically.
