Courses paid up front, not visit by visit

Beauty work is often sold as a course of six rather than a single treatment, and the money should arrive that way too. Sell the package, draw down a session at a time and take deposits on the treatments that block a room for an hour.

Package balances tracked for you.

One card rate of 2.5% plus 35p, with the platform fee inside it.

A treatment plan, not a one-off

Results in beauty come from a course, so the client who books once and drifts is a result you never got to deliver. Consultation notes, contraindications and course progress sit on one record, and the next appointment is prompted at the right interval.

Forms and consent stored with the record.

Unlimited customer records on every plan, yours to export at any time.

Running a beauty therapists business

Beauty treatments work across a course rather than in a single visit, so the commercial problem is almost never the first appointment. It is every appointment after it.

Sell the course, because the treatment only works as one

A single facial is something a client books when she feels like it. A course of six is a commitment that fills a treatment room for two months, and it is the only version that produces the skin she described in the consultation.

Sell it as one purchase and draw a session down each visit. Billing per visit hands her six separate opportunities to stop, and she usually takes the one around session three, when the skin goes through the stage where it looks worse before it looks better.

What a treatment room loses in an ordinary week

  • A ninety minute facial lost to a no show, in a room that holds exactly one person at a time
  • Turnaround absorbed into the appointment, so a day booked back to back is running late by lunchtime
  • A course sold verbally and tracked on a card in a drawer, then lost when the drawer is tidied
  • A patch test skipped because she had one last year, on a product you have since changed
  • Consultations given away to people collecting quotes from four salons on the same Saturday

The room is the constraint, not the therapist

Unlike a salon chair, a treatment room serves one client at a time and has to be stripped and reset between them. An hour lost in a single room cannot be recovered anywhere else in the day, because there is nowhere else for it to go.

Weight the deposit by how long the room is held, and build the turnaround into the appointment length rather than hoping for it. A diary assuming instant changeover produces a day that slides steadily later and a therapist eating lunch at four o'clock.

What has to be true before a treatment goes ahead

TreatmentWhat is required firstWhat happens when it is missing
A chemical peelSkin history, current medication and a documented consultationA recent retinoid or oral acne treatment turns a peel into a burn
Lash or brow tintA patch test with a date, the product and a recorded resultAn insurer declines the claim, and the claim is why you insured
Light based hair removalSkin type, contraindications and written consentA burn with no record of what was assessed or agreed

All of that is health information under UK GDPR, which needs explicit consent for the purpose, secure storage and access limited to the people who actually need it.

Retention here is measured in intervals, not in visits

Every treatment has a clinically right interval and it is almost never a calendar month. A course of peels runs at a fortnight, a maintenance facial at six weeks and a lash infill at two to three. One monthly newsletter serves none of them.

The final session of a course is the moment to sell the next one. Skin that has just had six weeks of work is at its best and she can see it in the mirror, which is a better argument than anything you will send her in November.

What a well run beauty business does

  • Sells courses as one purchase and draws a session down per visit
  • Charges for the consultation and credits it against the first treatment
  • Weights deposits by how long the room is held
  • Builds turnaround into the appointment length rather than hoping for it
  • Sends intake and consent forms before arrival instead of using a clipboard
  • Records products used, settings and how the skin reacted
  • Tracks patch test dates and blocks the booking when one has expired
  • Prompts the next treatment at its own clinical interval
