Booking software usually stops when the appointment is done. The receipt for colour, the rent and the year you have to declare still live somewhere else. In Youzse the expense and the estimate sit next to the diary. This is a record of what you entered. It is not tax advice, and it does not replace an accountant.

Scanning a receipt onto an expense

Open Finances, then Expenses, and add a receipt. The file can be a JPG, a PNG, a WebP or a PDF, up to 10 MB.

A photo is read as a scan. A PDF is read from the text already in the file. Where that text can be read, empty fields can be filled in: who you paid, the date, the amount and the VAT.

A document that cannot be read is still stored. You type the figures. Nothing is invented to fill a gap. Check the supplier, the date, the amount and the VAT before you save. A scan is a starting point, not a filed expense.

The year, as an estimate

The self assessment page adds the invoices you have marked paid, other income you have recorded, and the expenses you have entered. It is an estimate of the year so far.

It does not file anything with HMRC. You, or your accountant, still complete the return. If a receipt was scanned wrong, the estimate is wrong. The page is only as good as the expenses you kept.

Allowable expenses are an accountant's question. The software will add up what you saved. It will not tell you that a particular receipt qualifies.

Who this is for

Salons, barbers, clinics and trades have these books. A garage uses a different set of tools and does not see this expenses ledger.

A booking app that stops at the appointment leaves the receipt in a camera roll and the year in a spreadsheet. The useful case is doing both in the same login, and still handing the return to a person who is allowed to file it.

A receipt worth keeping

  • Photograph or attach it the day you spend the money
  • Check the supplier, date, amount and VAT before saving
  • Keep the file even when the scan finds nothing
  • Read the estimate before you talk to your accountant
  • Do not treat the estimate as a return that has been filed
