Switching from TechMan, vehicle history and MOT dates intact

TechMan buys in the technical data your technicians lean on and links out to the factors you order from. Those are the parts of it no migration carries. Here is what does travel, what does not and how to move the MOT reminder queue without a gap.

Most people looking at this page are not worried about their customer list. They are worried about the two thousand registrations sitting behind it, the service history attached to those registrations and the MOT dates that bring the work back through the door. That is the right thing to be worried about, so this page deals with it first and leaves the software argument until the end.

The Autodata and HaynesPro question, answered first

TechMan is known for wiring bought in technical data into the job, so a technician looks up service schedules, torque figures and repair times without leaving the screen. That data is licensed from its publishers. It is not TechMan data, it is not your data and it does not migrate anywhere, to us or to anyone else.

Youzse does not carry a technical data feed. Being direct about that matters more than anything else on this page, because it is the single biggest thing you would be giving up. If your technicians lean on that lookup daily, price a separate subscription with the publisher into your decision before you go any further, and do that now rather than after you have given notice.

The same goes for supplier links. TechMan connects out to motor factors so parts can be priced and ordered inside the job. Youzse holds a parts catalogue, part requests that need approving and purchase orders against suppliers you set up yourself, and it does not plug into a factor's live catalogue. For a garage that orders by phone or through the factor's own site anyway, that changes very little. For one that lives inside an integrated catalogue, it changes a great deal.

TechMan publishes no price on its public site, so no monthly figure for it appears anywhere on this page. The only TechMan number that exists is the one on your own invoice, which is worth digging out before you compare anything. Nothing in this table is a claim about what TechMan will hand over on any given day, so look at the export you actually get before you plan around it.

What the Youzse importer reads

Youzse imports customers, companies, services, staff, appointments, quotes and invoices from spreadsheets. Every file runs the same way: read the file, match the columns, preview the result, commit the batch. Duplicate checking runs before anything is written so a customer already in the system is not created a second time, and a committed batch can be rolled back in one action.

There is no named column profile for TechMan, so you match the columns yourself. The screen lists your headings beside the Youzse fields, guesses the obvious pairings and asks you to confirm them. That is a few minutes on a customer file and it is the same screen every other source uses, with the pairing left to you rather than guessed from a known layout.

Vehicles work differently and better. Type a registration against a customer and Youzse fills the make, the model, the colour, the year, the fuel type, the engine size, the MOT status, the next MOT due date and the test history from the plate. The vehicle record then follows the registration if the car changes hands, which is the thing a spreadsheet import could never have given you anyway.

Your switching checklist, in order

  • Price a separate technical data subscription with the publisher before you do anything else, because that decision changes whether the rest of this is worth doing
  • Export customers, trade accounts, job history and invoices while the TechMan account is still live
  • Pull one list of registration against customer, sorted by MOT due date with the soonest at the top
  • Export or screenshot your vehicle health check sheets, your labour rates and your reminder wording, none of which are records
  • Note your open purchase orders and any parts already paid for but not yet fitted
  • Start the Youzse trial, which runs 30 days with no card, and import customers and trade accounts first
  • Work down the registration list by MOT due date, adding vehicles from the soonest due
  • Import services, then staff, then invoices, then booked in work
  • Keep TechMan reminding alongside Youzse for a full cycle before you cancel

The MOT reminder cutover, and what breaks on the day

Youzse sends an MOT reminder on the exact day a vehicle reaches a reminder stop. You choose the lead time for the first one, which defaults to 30 days and can be set anywhere between 7 and 90, and the follow ups sit at 14 days, 7 days and the expiry date. After expiry there are further notices at 1, 7 and 14 days. Nothing is sent twice for the same stop.

The catch is the mirror image of that. A vehicle only receives a reminder if it exists in Youzse on the day the stop falls. Add a car a fortnight before its test and the 30 day reminder is simply gone, with no catch up and no retrospective send. That is why the registration list is sorted by due date rather than by customer name, and why it goes in first.

Run both systems reminding for one complete cycle. A customer hearing from you twice will tell you about it and laugh. A customer hearing from you not at all books somewhere else and you never learn that it happened. Duplication is the cheaper mistake by a distance.

The rest of day one is smaller but real. Booked in jobs need walking by eye against a printout for the first fortnight. Parts already on order from a factor have no purchase order in Youzse to land against, so keep a list on the counter. Courtesy cars have no record type of their own, so block the vehicle out as a booking against its own registration. And on cards, Youzse is 2.5% plus 35p per transaction with the platform fee inside that single rate, against a TechMan card rate that is not published anywhere, so compare it with your own merchant statements rather than with a figure from a website.

No, and this is the part to settle before anything else. The service schedules, repair times and technical drawings TechMan puts in front of your technicians are licensed from their publishers. They are not yours to move and Youzse does not carry an equivalent feed. If your workshop uses that lookup every day, price a direct subscription with the publisher into the cost of switching before you give TechMan notice.
