Moving off Autowork Online without losing the history

Garages that leave Autowork Online have usually been on it a long time, and the length of that history is the whole problem. This page is about what comes out of a decade on one system, what does not and how to keep the MOT reminders running while you move.

Autowork Online is sold through a demo rather than a public price list, so no monthly figure for it appears anywhere on this page. Nothing in this table is a claim about what Autowork Online will hand over on any given day, so look at the export you actually get before you plan around it.

Autowork Online has been running UK workshops for a long time and it shows in the leavers. The typical one is not a garage that hated the software. It is a garage with fifteen years of job history, a wall of registrations and an MOT reminder queue that quietly pays for a fortnight of every month, wondering how much of that survives a move. The answer is most of what matters and less than all of it, and the difference is worth understanding before you start rather than after.

What the Youzse importer reads, and what it does not

Youzse imports customers, companies, services, staff, appointments, quotes and invoices from spreadsheet files. Each one goes through read the file, match the columns, preview, commit. Duplicate checking runs before the write and a whole batch can be rolled back after it, which is what makes it safe to have a first attempt.

There is no named column profile for Autowork Online, so you match the columns yourself. Youzse reads your headings, guesses the pairings it recognises and puts every guess in front of you to confirm or change. This is the honest description of the work. It is not a one click importer and nobody should sell you one.

Vehicles are not in that list at all, because they are not imported. You add a vehicle by typing its registration and Youzse fills the make, the model, the colour, the year, the fuel type, the engine size, the MOT status, the next due date and the test history from the plate. A decade of drift in your old vehicle data therefore does not follow you. For a lot of long tenured garages this is the single best thing about the move.

What genuinely does not survive

Job cards do not travel as job cards. The money side of a job arrives as an invoice against the customer, which is the part your accountant and your VAT return care about, but the labour lines, the technician notes, the times booked and the parts fitted to a specific job stay in Autowork Online. Take a read only export of the job history before the account closes, because that is not a file you can go back for later.

The parts side is the other real loss. Autowork Online carries an integrated parts and stock operation and Youzse offers a simpler shape: a parts catalogue, part requests that need approving and purchase orders raised against suppliers you set up yourself. If the buying side of your business is doing serious work, that is a step down and you should weigh it properly.

Everything that was a setting rather than a record is rebuilt too. Reminder timings and wording, labour rates, deposit rules, vehicle health check sheets and document layouts are configuration, so no export anywhere carries them. Screenshot the lot while the account is live.

What breaks on the day, and what to do about it

Booked in work is the visible one. Import the appointments so the board has something on it, then check the next fortnight by eye against a printout. A car turning up on a day nobody has a record of is the only part of this a customer ever experiences, and it is entirely preventable.

Parts already on order are the invisible one. A purchase order raised in the old system does not exist in Youzse, so the part arrives with nothing to attach it to. Keep a written list by the counter until every open order has landed and been fitted, and stop raising new ones in the old system a fortnight before you switch.

Courtesy cars have no record of their own in Youzse. Block the vehicle out in the diary as a booking against its own registration and it behaves like any other job on the board. That is a workaround rather than a feature and we would rather say so here than let you discover it in week two.

On payments, Youzse is 2.5% plus 35p per transaction with our platform fee inside that single rate. Autowork Online publishes no card rate, so there is no published comparison available and your own merchant statements are the only place the answer exists.

Your switching checklist

  • Book the demo conversation with yourself first: decide how many years of history you are actually going to carry, because all of it is rarely the right answer
  • Export customers, trade accounts, invoices and quotes while the Autowork Online account is still live and paid
  • Pull one list of registration against customer, sorted with the soonest MOT due date first
  • Take a read only export of job history, because job card detail does not import anywhere
  • Screenshot labour rates, reminder wording, vehicle health check sheets and document layouts
  • Write down stock on hand and every open purchase order
  • Start the Youzse trial, which runs 30 days with no card, and import trade accounts, then customers
  • Add vehicles by registration in MOT due date order, soonest first, before you touch anything else
  • Import services, then staff, then invoices and quotes, then booked in work
  • Keep both systems sending MOT reminders for one full cycle, then cancel once the last job booked under the old system has been and gone
