Contracts invoiced on terms
Commercial cleaning is contracted monthly and paid on terms, often by a finance department that will not pay a text message. Invoice properly, on schedule, with the paperwork they need and let overdue ones chase themselves.
Overdue invoices chase themselves.
One card rate of 2.5% plus 35p, with the platform fee inside it.
Set up in 2 minutes. No credit card required.

Keep the contract, keep the business
Commercial contracts are lost on unanswered complaints and missed visits, not on price. Rotas, sign-offs and issue history against each site mean you can answer a facilities manager with a record rather than a promise.
Unlimited sites and contacts.
Unlimited customer records on every plan, yours to export at any time.

Running a commercial cleaners business
Commercial cleaning is won on a written specification, carried out after everybody has gone home and paid sixty days later by somebody who has never met you. Almost nothing about it resembles cleaning a house.
You are a supplier, and suppliers are paid by process
A finance department pays what matches an order. An invoice arriving without the purchase order number on it is not queried, it simply sits, and nobody tells you for six weeks that it is sitting.
Raise the invoice on the same date every month with the site reference and the order number on it, and it travels through their system on rails. The cleaning businesses that get paid slowly are very rarely the ones doing bad work.
On a contract worth two thousand a month, sixty day terms mean four thousand pounds of your money is permanently inside somebody else's bank account. That is worth knowing precisely rather than approximately.
The margin lives in the periodic work
A nightly clean is priced by the hour against three other tenders and there is very little left in it once wages, cover and consumables come out.
Hard floor stripping and sealing, carpet work, high level cleaning, deep kitchen cleans and the builders clean after a refit are where a contract earns properly. They sit in the specification as options nobody diarises.
Put them on a calendar per site and offer them before the facilities manager thinks to ask, because the moment he thinks to ask he asks three companies.
What a facilities manager wants within an hour of a complaint
- Who was on site last night, and what time they signed in and out
- Which tasks are daily, which are weekly and which are monthly, in writing
- The last completed check for that floor or that washroom
- What was reported by your own staff and what was done about it
- Confirmation that the person who attended was the person you said would attend
- Current details of who holds keys, fobs and alarm codes for that building
Where a cleaning contract is actually decided
| Stage | What it looks like | What really decides it |
|---|---|---|
| The tender | A specification and a price per week | Price, and whether your paperwork was complete |
| The first month | Everything done properly and nobody notices | Nothing, this is the honeymoon |
| Months three to nine | Standards drift as staff turn over | Whether anybody is checking before the client does |
| The renewal | A meeting about the last complaint | The record you can produce on the day |
Contracts are lost in month seven and cancelled at renewal. By the time the meeting is in the diary the decision has usually already been taken.
Turnover of staff is the operational risk
Cleaning is a low paid trade with high turnover, and a contract is only ever as good as whoever unlocked the door last night. Every leaver takes a fob, an alarm code and an unwritten understanding of what that client actually cares about.
That is why the specification has to live somewhere other than in a supervisor's head, and why access has to be current rather than roughly right. Somebody who left in March should not still be able to walk into a building in June.
It is also why the rota matters more here than in any other cleaning work. A client is not asking whether the office was cleaned, they are asking who cleaned it and at what time, and that is a question about a record rather than about standards.
