AIT Online publishes from £35 a month on its site. Nothing else in this table is a claim about what it will hand over on any given day, so look at the export you actually get before you plan around it.
We cost more, and here is what the difference buys
AIT Online publishes from £35 a month. Youzse is from £59 a month, with VAT treatment set out on the Youzse pricing page. On the monthly subscription we are the dearer of the two and no arrangement of words changes that, so if the bill is the only thing driving this you should stay where you are.
What the difference covers is scope. Youzse runs the workshop board, job cards, vehicle health checks with EVHC templates, online quote approval with photos, parts and purchase orders, deposits, card payments, payment links, online booking by registration and 9 box VAT returns in one place. Whether that is worth the gap depends entirely on how many separate things you are currently paying for or doing by hand.
The card side has to be said too. Youzse card processing is 2.5% plus 35p per transaction with our platform fee inside that single rate. AIT Online publishes no card processing rate, so there is no published comparison available and your own merchant statements are the only place the answer lives. On new work, Youzse charges 0% commission on new clients who find you through Youzse, so nothing is taken at the moment somebody new books.
With the money settled, the rest of this page is about the thing that actually keeps garage owners awake during a move. Not the software and not the diary, but the vehicles. The registrations, the history hanging off them and the MOT dates that bring the work back through the door. Here is what travels, what does not, what breaks on the day and how to hand the reminder queue across without a month of silence.
What the Youzse importer reads
Youzse imports customers, companies, services, staff, appointments, quotes and invoices from spreadsheet files. Every one runs the same four steps: read the file, match the columns, preview the result and commit the batch. Duplicate checking runs before the write so an existing customer is not created twice, and a committed batch can be rolled back whole rather than unpicked row by row.
There is no named column profile for AIT Online, so you match the columns yourself. Youzse reads your headings, guesses the pairings it recognises from the wording and puts every guess in front of you to confirm or change. It is a few minutes on a customer file. It is not a one click importer and nobody should describe it as one.
Vehicles are outside all of it. There is no vehicle import and there does not need to be, because typing a registration fills the make, the model, the colour, the year, the fuel type, the engine size, the MOT status, the next due date and the test history from the plate. The record then follows the registration if the car changes hands, which is the thing a workshop actually needs from a vehicle record.
Your switching checklist
- Work out honestly what you are paying for elsewhere, because the subscription gap only makes sense if Youzse replaces more than one thing
- Export customers, trade accounts, job history, estimates and invoices while the AIT Online account is still live
- Pull one list of registration against customer, sorted with the soonest MOT due date at the top
- Screenshot reminder wording and timings, labour rates and any check sheets you use, none of which are records
- Note stock on hand and every open purchase order
- Start the Youzse trial, which runs 30 days with no card, and import companies, then customers
- Add vehicles by registration in due date order, everything due in the next three months first
- Import services, then staff, then invoices and quotes, then booked in work
- Keep both systems reminding for one full cycle, then cancel once the last job booked under the old one has been and gone
The MOT reminder cutover, which is the expensive step
Youzse sends an MOT reminder on the exact day a vehicle reaches a reminder stop. The first stop is a lead time you set, defaulting to 30 days and adjustable between 7 and 90 days, with follow ups at 14 days, 7 days and the expiry date itself, then notices after expiry at 1, 7 and 14 days. Nothing is sent twice for the same stop.
That precision has a cost attached to it. A vehicle which is not in Youzse on the day its stop falls receives nothing, and there is no catch up send afterwards. Add a car a fortnight before its test and the 30 day reminder is gone for that year.
So load by due date and never alphabetically. Everything due in the next three months goes in before anything else in the project, and the long tail follows as cars come through the door. Keep AIT Online reminding for one complete cycle on top of that and accept that a handful of customers get told twice. Duplication is a small embarrassment. Silence across a book of vehicles is a hole in the year that nobody ever traces back to the software.
What breaks on the day, and what to do about it
Booked in jobs need a printout and twenty minutes. Import the appointment file, print the next fortnight from AIT Online and walk the two against each other. A car arriving on a day nobody has a record of is the only failure here a customer ever experiences.
Parts on order have nothing in Youzse to land against, because a purchase order raised in the old system does not exist in the new one. Stop raising orders there a fortnight before the switch and keep a written list of the open ones by the counter.
Courtesy cars have no record type of their own in Youzse. Block the vehicle out in the diary as a booking against its own registration and it behaves like any other job on the board. That is a workaround and we would rather write it here than have you find it in week two.
Your booking links go last. Your Youzse booking page lives on youzse.app followed by your own booking slug, and the link on your website, your Google Business Profile and anything printed has to be pointed at it by hand. Do that only once the workshop board is one you would trust on a Monday morning.
