Moving from Square Appointments, invoices included

Square has no marketplace, so leaving it is not an argument about commission. It is about whether you want a till that takes bookings or a booking system that takes payment, and what you can carry between the two.

What actually breaks on the day

  • Your card readers stop being part of the system. Square terminals only talk to Square, so the day you move you need another way to take payment in person. Youzse supports Tap to Pay on iPhone, which needs no hardware at all, and this is the gap most people plan for too late.
  • You will pay more per card transaction. Square publishes 1.6% in person on its paid plans against 2.5% plus 35p on Youzse, and that difference is real on every sale you make.
  • Every link you have already given out points at Square, and nobody can redirect a web address on a domain they do not own. Your Instagram profile, your Google Business Profile booking link, your printed cards and any QR code you had made all have to be changed by hand.
  • Customers with a card saved will be asked for it again. Say so in the message rather than letting them discover it at the till.
  • Your retail stock is not a booking record. If you sell product through Square, that side of the business needs looking at separately rather than assuming it arrives with the customers.

Square is the only platform in this cluster that runs no marketplace, so the question every other page on this site turns on does not apply here. Nobody is charging you for a new client and nothing is owed on the way out. What is at stake instead is the hardware you have bought, the card rate you are on and whether a system built as a till is the right shape for the way you book work.

Export the Directory from Customers, the booking history from Appointments and then Activity, the invoice file from Invoices and your item library for services. Nothing in this table is a claim about what Square will hand over on any given day, so look at the export you actually get before you plan around it.

The card rate, stated plainly

This is the part of the page that does not go our way, so it sits near the top rather than in the small print. Square publishes 1.75% in person on its free plan and 1.6% in person on Plus and Premium, with online payments at 1.4% plus 25p for UK cards. Youzse card processing is 2.5% plus 35p, with our platform fee inside that single rate rather than charged separately.

On card takings alone you will pay us more per transaction and there is no way to present that which makes it smaller. What sits on the other side of it is that there is no charge when a new client books you, no separate platform fee and no per location subscription step as you grow.

If most of your money goes through a card reader and you need little more than a calendar beside it, Square on the free plan is very hard to beat and you should stay on it. The arithmetic changes when you are quoting for work, taking deposits, chasing payment after the job or keeping the sort of client record a till was never built to hold.

The per location step, and where Square gets expensive

Square publishes £0 for a single location on its free plan, £29 a month per location on Plus and £69 a month per location on Premium. Neither Square nor Youzse states on its pricing page whether those figures include VAT.

The words doing the work there are per location. A second chair or a second van does not change the bill, but a second address multiplies it, and on Premium that is £69 becoming £138 for the same business. Youzse is from £19 a month for the business with extra locations from £15 a month and no plan upgrade attached to opening one.

Which of those is cheaper depends entirely on whether you are one site or several. Work it out on your own shape rather than on a headline.

Export the invoices first

Most platforms written about on this site hold no invoice history at all, because a booking app takes a payment rather than raising a document. Square does hold it, which makes it the one export people forget and then cannot get back once the account is closed.

Youzse reads the Square invoice file directly. Invoice number, issue date, due date, customer, total and outstanding balance all map across, and the Square status names are translated as they arrive, so paid stays paid, overdue stays overdue, sent and scheduled both become sent, draft stays draft and a refunded or cancelled invoice is recorded as void.

If your invoice numbering runs in a sequence your accountant recognises, set the Youzse invoice prefix to continue it rather than starting again at one. That is a two minute setting and a genuine nuisance to unpick later.

The order to do it in

  • Export the Directory, your booking Activity, your invoices and your item library while the Square account is still open
  • Start the Youzse trial, which runs 30 days with no card, and upload the customer file first
  • Read the preview screen before you commit. Youzse looks for records that already match, so the same customer does not land twice
  • Import services next, then staff, then appointments, then invoices, because each of those needs the records above it to exist first
  • Set your invoice prefix to continue your existing Square numbering before you raise anything new
  • Sort out card acceptance before you cancel anything, because Square hardware stops being useful the moment you leave
  • Rebuild what an export does not carry, which usually means deposit rules, reminder wording and forms
  • Take live bookings on Youzse for a fortnight while Square is still running, so the diary has a fallback
  • Change your booking links last, and only once the Youzse diary is one you would trust on a Saturday

How long it takes and where the time actually goes

The uploading is the short part. The Youzse importer takes every file through the same four steps: read the file, match the columns, show you a preview and then commit the batch, and a committed batch can be rolled back rather than unpicked row by row.

With Square the time goes somewhere slightly different from the other platforms here. The customer file is clean, because Square names its fields properly, so the checking that matters is the item library, where services and retail lines sit together and arrive needing sorting into categories that make sense in a diary.

Leave a clear day between sorting out card acceptance and cancelling Square. That is the only step in this move that can stop you trading, and it is the one nobody plans for.

When you should stay on Square

A page like this is usually written as though leaving is the right answer, so here is the case for not doing it. If you are a single location taking most of your money in person, the Square free plan at £0 with card processing at 1.75% is cheaper than anything we can offer you, and the calendar attached to it is perfectly good.

Square is also the stronger product if the till is the centre of the business. Retail, stock, a proper point of sale and hardware that works together is not what Youzse is for, and pretending otherwise would be the sort of claim this page exists to avoid.

The move makes sense when the work is booked rather than walked in: when you quote before you start, invoice after you finish, take deposits against no shows, hold consultation forms and consent, or need a client record with history in it. That is a different shape of business from the one Square was designed around, and that difference rather than the price is the reason to move.
